No other European country moves its hotel prices the way Germany does. When a major trade fair runs in Frankfurt, Munich, Cologne, Düsseldorf or Berlin, the host city sells out and rates rise several times over for the week — and a leisure group that happens to arrive mid-fair pays fair prices for a holiday. What a Messe Week Does to Your Costing

A fair week does three things at once: it removes availability, it multiplies the rate, and it changes the cancellation terms, because Messe contracts are written to protect the hotel rather than the buyer. Beyond the fair calendar sit three more German specifics. Most cities operate an environmental zone requiring a green windscreen badge, so an uncertified coach is turned back. The Reichstag dome in Berlin admits visitors only on advance registration with names and identity documents. And Neuschwanstein takes no coach up to the castle — vehicles stop in the village below and the last stretch is on foot, by shuttle bus or by horse carriage, on a timed entry that is unforgiving of a late group.

Germany: The Trade's Standing Questions

What is a Germany DMC?
A Germany DMC is a trade-only partner that operates your programme on the ground — designing the itinerary, contracting German hotels, coaches, guides and venues at net rates, managing the trade-fair calendar that governs availability, and coordinating the group on site. HCG does all of it under your brand, as your single point of contact.
Why do you ask about trade fairs before quoting?
Because a major Messe removes a host city's hotel availability and multiplies its rates for that week, and the contract terms tighten with it. Knowing the answer first is the difference between a competitive quote and one that has to be revised upward after your client has seen it.
Can we visit Oktoberfest with a group?
Yes, but it needs a long lead. The festival runs from mid September for around two and a half weeks, tent tables are committed roughly a year in advance, and Munich accommodation prices accordingly. Groups that enquire in June are usually offered a beer-hall alternative instead, which is a good evening but not the same product.
What is the environmental zone badge?
Most German cities operate an Umweltzone, and vehicles need a green windscreen badge to enter the marked area. A coach without one is refused, not fined and waved through. We contract compliant vehicles as standard, which occasionally makes our transport line higher than a quote that has not considered it.
Does the coach go up to Neuschwanstein?
No. Coaches stop in the village below and the final ascent is on foot, by shuttle bus or by horse-drawn carriage, and entry is on a printed time slot. Between the queue, the climb and the slot, the castle needs a properly planned half day rather than a stop squeezed between two others.
When do the Christmas markets run?
Broadly from late November to 23 December, with most closing before Christmas Eve rather than after it. City-centre coach access tightens sharply in those weeks, so drop-off points move and walking distances grow — which is exactly the kind of detail that decides whether an elderly group enjoys the evening.
Are shops really closed on Sundays?
Largely yes, outside stations, airports and tourist attractions. For leisure groups this matters more than it sounds, because a Sunday built around shopping simply does not work. We move retail time to a weekday and give Sunday to museums, cruises or the countryside.
Can you handle congress-scale groups?
Yes — up to four-figure delegate counts in Berlin, Munich and Frankfurt, across multiple properties where a single hotel cannot hold the block. The hard part is rarely the venue; it is protecting the accommodation from a fair week that overlaps your dates.
