Spain Sells Out Earlier Than Agents Expect

A Spain DMC is your operating partner on the ground — contracting Spanish suppliers at net rates, holding the named tickets and timed entries the country insists on, and placing a coordinator beside your group from arrival to departure, under your brand.

The Alhambra is the clearest example. Tickets are nominative: each one carries a passenger name, and ID is checked at the gate, so a rooming list change three days out is a re-issue, not a note to the guide. The Nasrid Palaces admit visitors in a half-hour window printed on the ticket, and the whole site sells through months ahead for spring and autumn. Sagrada Família and Park Güell work the same way on capped numbers.

Then there is the clock. Spanish kitchens serve lunch from about 2 pm and dinner from 9 pm, and a group booked to eat at 7 pm will find the restaurant genuinely closed. The Alhambra Is Where Spanish Files Fail

Named tickets are the reason. We need the passenger list far earlier than a normal file requires, because every name is printed and checked, and late changes mean re-issuing rather than swapping. Around it sit three more traps: Holy Week, when Seville and Málaga close their centres to traffic for processions and hotels have been full for a year; August in Andalusia, where afternoon temperatures pass 40 degrees and outdoor sightseeing moves to the morning; and flamenco, where an authentic tablao seats perhaps 60 to 120, so a group of 200 is either split across sittings or moved to a larger venue on purpose.

What is a Spain DMC?
A Spain DMC is a trade-only partner that operates your programme on the ground — designing the itinerary, contracting Spanish hotels, coaches, official guides and venues at net rates, securing the named and timed tickets Spain requires, and coordinating the group on site. HCG does all of it under your brand, as your single point of contact.
Why do you need passenger names so early for the Alhambra?
Alhambra tickets are nominative — each carries a passenger name and identity is checked at the gate. A name that does not match the list does not enter. That is why we ask for the rooming list far earlier than a normal file needs it, and why a late substitution means re-issuing a ticket rather than handing it to someone else.
Can we book dinner at 7 pm for a group?
Usually not in an ordinary restaurant, because Spanish kitchens open for dinner around 9 pm. Where a group genuinely needs an early meal — an early flight, or children — we contract a venue that will open specially rather than pretending the standard sitting can move. It costs more, and we say so at proposal stage.
What happens to our itinerary during Holy Week?
In Seville and Málaga, processions close central streets for much of the week and coaches cannot reach the usual points. It is a spectacular time to be there and a difficult one to operate, so we plan those files entirely differently: hotels further out, walking routes rather than driving, and dates committed a year ahead because that is when the beds go.
Is flamenco suitable for a large group?
A genuine tablao is a small room, often seating between 60 and 120. A group of 200 therefore splits across sittings or moves to a larger venue built for it — both work, but they are different products and we would rather set the expectation than deliver a compromised evening.
Should we drive or take the AVE between cities?
For Madrid to Seville or Madrid to Barcelona, the AVE is roughly 2 hours 30 station to station and almost always beats the coach on both time and comfort. Within Andalusia the coach usually wins, because the towns are not on the high-speed spine — Seville to Granada, for instance, is 250 km of ordinary road.
Is there a tourist tax in Spain?
Not nationally. Catalonia and the Balearics levy one, and Barcelona adds a city surcharge on top, so a Barcelona night carries a cost that a Madrid night does not. We show it as its own line so your margin does not quietly absorb it.
How do you handle August in Andalusia?
By moving the programme, not the clients. Afternoon temperatures in Seville and Córdoba pass 40 degrees, so monuments are visited early, the middle of the day goes to the hotel or an indoor venue, and the outdoor content moves to the evening. Groups that ignore this lose people to heat exhaustion on day two.
