A Series Is Won or Lost at Allocation, Not at Pricing

A group tour DMC holds the beds, coaches, guides and entries your departures need before the season opens, operates each one on the ground, and invoices you at net rates under your own brand.

Operators lose series margin in one of two places. Either the allocation was never secured and every departure is re-sourced at spot rates, or it was secured and then released late, so the cancellation penalty lands on dates that never sold. Neither is a pricing problem. Both are a contracting problem, and both are visible months before the first coach moves.

We contract group product across 24 European nations on one agreement, so a circuit crossing four countries has one operator, one rooming list and one invoice. As a wider Europe DMC we also carry the MICE and FIT sides of the same account.

Four Countries, One Rooming List

A fortnight that crosses four borders is four hotel contracts, four guide licensing regimes, four coach-access rules and four VAT positions. Handled separately it is four suppliers arguing over who owed the transfer. Handled by one operator it is a single file, a single point of accountability and a single reconciliation at the end.

The Driver's Tachograph Writes the Itinerary

European coach drivers work to Regulation (EC) No 561/2006, and it is not advisory. A driver may drive 9 hours in a day, extended to 10 hours twice in a week. After 4 hours 30 minutes at the wheel a 45-minute break is compulsory, and daily rest is 11 hours, reducible to 9 hours no more than three times between weekly rests. Weekly driving is capped at 56 hours and any fortnight at 90. The tachograph records all of it.

An itinerary that ignores those limits does not get a warning — it gets a coach that stops. We cost the driving day before we cost the hotel, and where a route cannot be driven legally in one day we either add a night or put a second driver on the file and tell you what that costs at the quote stage rather than the invoice stage.

What is a group tour DMC?
A group tour DMC is a trade-only partner that contracts and operates the ground portion of your departures — hotels, coaches, guides, meals and entries — at net rates, and runs each departure on site under your brand. You keep the client relationship, the pricing and the booking; we hold the suppliers and take the operational risk.
What is the difference between a series and an ad-hoc group?
A series is a set of fixed, repeating departures on the same itinerary, contracted as one block of allocation for the whole season. An ad-hoc group is a single movement quoted against live availability. Series buys a lower per-person cost in exchange for commitment and release obligations; ad-hoc costs more per head but carries no allocation risk. Most operators run both.
How far ahead do we need to contract a series?
For a mainstream summer series, the season before. City hotels release group allocation to whoever commits first, and the better coach operators are contracted out months ahead. Fixed-date product such as Oberammergau, Holy Week or a major anniversary needs a year or more, because the date cannot move and neither can the demand.
How many seats are on a European touring coach?
A standard full-size touring coach carries 49 to 53 seats, a midi coach around 35, and a minibus 16 to 19. The number matters for more than capacity: a full-size vehicle is barred from some historic centres and some mountain roads, so on certain routings we will quote two midis rather than one coach and explain why.
How long can a coach driver legally drive in a day?
Under Regulation (EC) No 561/2006 a driver may drive 9 hours a day, extendable to 10 hours twice in any week, with a compulsory 45-minute break after 4 hours 30 minutes at the wheel. Daily rest is 11 hours, reducible to 9 hours a maximum of three times between weekly rests. Weekly driving is capped at 56 hours and any two-week period at 90. Where a routing exceeds that, we add a night or a second driver and price it at the quote.
Do we have to use licensed local guides?
In several European cities and at many major monuments, yes — guiding is a licensed profession and an unlicensed guide can be stopped at the entrance or fined. The rules vary by country and sometimes by site, so we book the licensed guide where it is required and your own tour leader accompanies the group throughout. We tell you which stops are affected before the itinerary is signed off.
What happens to allocation we do not sell?
Every block carries a release date, after which unsold rooms attract a penalty. We record those dates per departure and hand back what has not sold before the deadline, then confirm in writing what was released. The commercial damage in a series almost never comes from the rate — it comes from allocation that stayed on the books past its release date.
Can one contract cover a circuit through several countries?
Yes, and that is the main reason operators consolidate. We contract across 24 European nations, so a fortnight crossing four borders runs on one agreement, one rooming list and one invoice, with a single point of accountability when something moves on the road.
